This Privacy Policy explains how Vinxign Media Private Limited (“Eduxign”, “we”, “us”, or “our”) collects, uses, stores, shares, and protects personal data when you use the Eduxign website, mobile application, registration portals, organisation panels, and related services (collectively, the “Platform”). This Policy is issued in accordance with the Digital Personal Data Protection Act, 2023 (“DPDP Act”) and the rules made thereunder.

1. Definitions

“Personal Data” means any data about an individual who is identifiable by or in relation to such data. “Data Principal” means the individual to whom the personal data relates. “Data Fiduciary” means Vinxign Media Private Limited in respect of personal data processed on the Platform. “Processing” includes collection, storage, use, disclosure, and deletion of personal data. “Minor” means any individual below 18 years of age.

2. Scope and Roles

This Policy applies to students, parents and guardians, teachers, organisation staff, applicants, and visitors who interact with Eduxign. Where an educational institution, NGO, school, trust, coaching centre, or institute (“Partner Organisation”) uses Eduxign to deliver programmes, Eduxign acts as the Data Fiduciary for Platform operations, while Partner Organisations may process limited student data for reporting, admissions, attendance, and programme delivery under separate agreements and applicable law.

3. Categories of Personal Data We Collect

3.1 Identity and Account Data

When you register or maintain an account, we may collect your name, display name, email address, phone number, profile photograph, user role (student, parent, teacher, organisation staff, applicant, or core team), account status, and authentication identifiers managed through Supabase Auth (including Google sign-in where enabled).

3.2 Student and Parent Data

For students and parents, we may collect student name, date of birth, age, gender, class or grade, academic stream (science, arts, or commerce), board affiliation, accommodation preference (day scholar, hostel, or online), learning mode (online, offline, or hybrid), roll number, exam number, address, child photograph, parent or guardian name, relation type, contact number, email, and parent access PIN where enabled.

3.3 Registration and Programme Data

Through sponsored programme registration on our landing pages, we collect full name, email, phone number, role (student or parent), age, study class, stream, board, occupation (where applicable), details of up to four children for parent registrations (name, age, class, stream, board), and your explicit consent to programme participation and truthfulness of information.

3.4 Admission, KYC, and Verification Data

For school or organisation admissions, we may collect application number, applicant type, account holder name, email, phone, family batch details, parent details, academic session, hostel preferences, emergency contact information, permanent and current address, child particulars, verification channel (online or offline), verification status, and references to identity documents.

Important: Eduxign stores secure document references and verification outcomes only. We do not store Aadhaar numbers in our databases. Identity verification may be performed through UIDAI-compliant third-party gateways; document files are stored in secure storage buckets with access controls.

3.5 Teacher and Applicant Data

For teachers and applicants, we may collect teacher code, name, biography, experience, hourly rate, employment type, date of birth, gender, address, city, state, PIN code, professional summary, skills, subjects, languages, grades taught, teaching modes, availability notes, education history, work experience, certifications, uploaded documents, and application messages.

3.6 Organisation Data

Partner Organisations may provide organisation name, organisation code, organisation type (school, trust, NGO, coaching centre, or institute), registration name, contact number, email, website, logo, address, board affiliations, capacity information, fee structure, intake and hostel capacity, and staff member roles (principal or administration).

3.7 Learning, Assessment, and Engagement Data

When you use learning features, we collect course and topic progress, watch time, completion status, attendance records, test attempts, scores, answers, doubt markers, scheduled doubt sessions, teacher session bookings, certifications issued, and daily or monthly learning analytics such as watch minutes, attendance percentage, tests completed, average scores, and doubts raised.

3.8 Payment and Financial Data

We process payment status, transaction references, subscription details, fee breakdowns, amounts due or collected, programme subsidy amounts, and ledger entries for admissions. We do not directly collect or store credit card, debit card, UPI credentials, or net banking passwords. Payment card processing is handled by authorised payment gateway providers such as Razorpay.

3.9 Technical and Security Data

We automatically collect device and browser information, IP address (including for rate limiting and abuse prevention), session metadata, learning event logs, notification preferences, activity logs, and audit records necessary to operate, secure, and improve the Platform.

3.10 Communications and OTP Data

For account registration, organisation transfers, and verification workflows, we may process OTP destination email or phone, hashed OTP values, expiry timestamps, and verification timestamps. We do not retain raw OTPs after verification.

4. How We Collect Personal Data

We collect personal data when you register on the Platform, complete admission or programme forms, interact with organisation staff through Eduxign tools, use learning and assessment features, make payments through integrated gateways, contact our support or grievance channels, or when Partner Organisations enter verified records on your behalf with appropriate consent.

5. Purposes of Processing

  • Creating and managing user accounts and role-based access
  • Delivering educational content, assessments, certifications, and accessibility features
  • Processing admissions, enrolments, class assignments, and organisation transfers
  • Conducting identity and document verification workflows
  • Tracking learning progress, attendance, analytics, and programme outcomes
  • Facilitating doubt sessions, teacher sessions, and parent visibility features
  • Processing payments, generating invoices, and maintaining financial records
  • Operating organisation ERP panels, reporting, and partner programme administration
  • Sending service communications, notifications, and support responses
  • Preventing fraud, enforcing terms, maintaining security, and complying with law
  • Improving Platform performance, accessibility, and user experience

6. Legal Basis and Consent

We process personal data based on your consent, performance of a contract, compliance with legal obligations, and legitimate uses permitted under the DPDP Act. Where processing relates to a Minor, we require verifiable consent of a parent or lawful guardian before processing personal data or conducting Aadhaar-based online verification.

For sponsored programme registrations, separate consent is obtained for programme participation and for the accuracy of submitted information. You may withdraw consent where processing is consent-based, subject to contractual and legal retention requirements.

7. Data Sharing and Disclosure

7.1 Partner Organisations

Where you enrol in a programme delivered with a Partner Organisation, we may share limited data such as your name, class or grade, learning progress, attendance, and performance analytics for reporting and programme administration. Contact details such as phone number, email, and address are not shared with Partner Organisations unless separately agreed and consented to for a specific purpose.

7.2 Service Providers

We use trusted processors for authentication (Supabase Auth), database and storage (Supabase), payments (Razorpay and other authorised gateways), communications (SMS, email, WhatsApp where applicable), analytics, and identity verification. These providers process data only under our instructions and applicable contractual safeguards.

7.3 Legal and Safety Disclosures

We may disclose personal data where required by law, court order, regulatory direction, or to protect the rights, safety, and security of users, Partner Organisations, or Eduxign.

8. Children’s Data and Minors

Eduxign serves learners including deaf and hard-of-hearing minors. We do not knowingly process a Minor’s personal data without verifiable parental or guardian consent. Parents and guardians may request access, correction, or deletion of a Minor’s data. We do not engage in behavioural tracking, profiling, or targeted advertising directed at Minors.

9. Data Retention

We retain personal data only for as long as necessary to fulfil the purposes described in this Policy, provide services, resolve disputes, enforce agreements, and comply with legal, tax, and regulatory obligations. Soft-deleted records may be retained in backup systems for a limited period. Upon verified deletion requests, we will erase personal data within a reasonable period not exceeding thirty (30) calendar days, except where retention is legally required or necessary for pending proceedings.

10. Security Measures

We implement technical and organisational safeguards including access controls, row-level security policies, encryption in transit, role-based permissions, secure document storage references, rate limiting, audit logging, and staff confidentiality obligations. No method of transmission over the internet is completely secure; you use the Platform at your own risk.

11. Your Rights under the DPDP Act

Subject to applicable law, you have the right to:

  • Obtain information about personal data we process about you
  • Request correction of inaccurate or incomplete personal data
  • Request erasure of personal data, subject to legal exceptions
  • Withdraw consent where processing is consent-based
  • Nominate another individual to exercise your rights in the event of death or incapacity
  • Seek grievance redressal through our Grievance Officer

Account deletion is irreversible and will result in loss of access to learning history, certificates, progress records, and associated content.

12. Cookies and Similar Technologies

We use essential cookies and similar technologies to maintain sessions, remember preferences, secure the Platform, and measure performance. Where non-essential cookies are used, we will provide appropriate notice and choices as required by applicable law.

13. Cross-Border Processing

Your data may be processed on servers located in India or other jurisdictions where our service providers operate. We ensure appropriate safeguards consistent with applicable Indian data protection requirements.
